This policy applies to all faculty, staff, students, contractors, and affiliates using AI tools in academic, operational, administrative, or creative work on behalf of Nicolet College.
Guiding Principles
1. Ethical Use: AI should complement, not replace, human judgment.
2. Academic Integrity: AI must be used in ways that preserve honesty, originality, and learning outcomes.
3. Equity and Fairness: AI must not be used in ways that reinforce bias or discrimination.
4. Data Privacy: Sensitive or restricted information (e.g., FERPA, HIPAA, or PII) may not be entered into AI tools.
5. Responsible Adoption: The College encourages innovation through the thoughtful, secure, and strategic use of AI technologies.
AI may be used to:
- Brainstorm or generate ideas.
- Draft or edit written or creative content with human review.
- Summarize or analyze research and data.
- Improve clarity, translation, or writing quality.
- Assist in software development or workflow automation.
- Support creative projects when properly licensed and original.
Prohibited Uses
AI may not be used to:
- Input sensitive, confidential, or restricted data, including but not limited to FERPA, HIPAA, or personally identifiable information (PII).
- Spread misinformation, deceptive content, or malicious code.
- Violate privacy, intellectual property, or licensing rights.
- Create or share discriminatory, harassing, or harmful material.
Data and Tool Use
- Only public data may be entered into AI systems.
- Tools must be evaluated for cybersecurity, privacy, and accessibility before institutional use and must be submitted through the Help Desk for approval.
Academic and Administrative Use
- Faculty will define acceptable AI use within course activities and assessments.
- Students must follow course-specific guidelines.
- AI powered tools may only be used to record, transcribe, or generate meeting minutes with the prior approval of the Nicolet College meeting owner.
- Administrative use should improve efficiency and decision-making while maintaining human oversight.
Training and Adoption
The College will provide training periodically to support responsible AI adoption, focusing on literacy, ethical use, and practical application across departments.
Reporting and Compliance
Suspected misuse and policy violations must be reported through standard Nicolet College protocols (e.g., supervisor, leadership, or the Chief Information Officer).
