Purpose and Scope:
Nicolet College provides students with the opportunity to inspect, review, and request
correction of their education records in accordance with applicable federal and state laws,
including the Family Educational Rights and Privacy Act (FERPA).
Procedure:
Review of Education Records
1. A student may request to inspect and review their education records maintained by Nicolet College.
2. Requests must be submitted to the Registrar's Office and identify the specific record(s) the student wishes to review.
3. The College will provide access to the requested records within 45 days of receipt of the request in accordance with FERPA requirements. A college representative may be present to assist in interpreting record information and responding to questions regarding the contents of the record.
4. Original education records remain the property of Nicolet College and may not be altered, removed, copied, destroyed or reproduced in any way by a student.
5. Printed copies will incur a fee. The Public Record Fee Schedule will be used to calculate the fee as cited in BP 2.08 Public Records. Printed copies will be mailed in a sealed envelope. After the fee is calculated, the Business Office will create the invoice and issue the invoice to the records requestor. All documents will be scanned into the student file.
6. The requesting student may enter a statement into their educational record.
Request to Amend a Record
1. A student who believes information contained in an education record is inaccurate, misleading, incomplete, or otherwise violates the student's privacy rights may request that the record be amended.
2. Requests for amendment must:
- Be submitted in writing to the Registrar.
- Identify the specific record or information being challenged.
- Describe the requested correction.
3. Explain why the information is believed to be inaccurate, misleading, incomplete, or in violation of the student's rights.
4. Requests to amend a record may not be used to contest a grade or academic judgment unless the student alleges that the grade was recorded incorrectly or was affected by a clerical or administrative error.
5. The Registrar, or designee, will review the request, any supporting documentation, and relevant College records. Additional information may be requested from the student as necessary.
6. The College will provide the student with written notification of the decision.
Appeal Process
If the registrar denies the request to amend the record, the Registrar will notify the student and advise them of their right to appeal the decision using PR 2.21.01 Student Complaint Procedure.
